July Board Meeting Minutes

July 27 - Rainier Valley Rotary - Board/Leadership Meeting
Attending: Turner, Moen, Gutknecht, Julie Lefavre
Meeting Start: 4 p.m.
1. Minutes of the previouse board meeting were not presented for approval - no quorum.
2. Howard presented a short recap of his discussion with Jane DeHaan about her idea for a Rainier Valley Celebrity Cookbook. This would be a fundraiser, and potentially a membership development program. Printing expense: $400, Projected Sales: $2400. Net funds Dictionaries
3. Howard presented a short recap of the Spring 2009 dictionaries project, with an eye to the coming Fall. 560 dictionaries will cost $3240. Sell 10 sponsorships to local business for $100 - their ad goes in the Cookbook.
4) Leadership
General discussion of leadership positions. Howard and ElDoris to extend the strategic plan for discussion by members, starting with a phone conversation Friday, July 30.
5) Fundraising
General discussion of fundraising. Ruth said she will be project leader for the 5-clubs auction.
Howard said this was an opportunity to engage clubmembers in soliciting auction items from Rainier Valley merchants.
6) Socials:
General agreement that much smaller socials are very important:
- social at the Quarntsroms - "fireside"
- Ruth has extended an invitation to the Seattle Parks program at Rainier Valley Community Center and possibly two others - to provide food, help with recreation programs.
- ElDoris suggested NAAM as a location for a social. We can get discounts on the meeting rooms and catering if we become a $2500 sustaining member. This is a one-time donation.

7) District Governor will present a program at the Tuesday, September 15 morning meeting. Howard will shuffle speakers.

8) Eldoris suggested we target a date to process food for Rotary Second Harvest

9) Discussion of e-mail as a faulted communication method - things "get lost in e-mail."
Julie Lefavre suggested publishing a weekly calendar handout. Howard suggested doing a monthly calendar. Ruth volunteered to mail on Friday a weekly reminder for the following week - would arrive in members' mailboxes the following Monday.

10) Membership:
Discussion of the merits of Push (you need to have X% meeting attendance..." with Pull "The hours you spend at Rotary events and projects are the most fun you have." Discussion of how
incent members to show up at the Tuesday morning meeting at 7:15 or earlier. Value of being an "Early Bird" - opportunity to gain valuable face-to-face time with other clubmembers. Howard will
design an "Early Birds" card. Showing up at a meeting 15 minutes early gains you a check
in a box on the card. This will be available for the August 4 meeting. Fabulous prizes coming!
